Chairman

The Chairman is like the conductor of an orchestra. He doesn't play an instrument but co-ordinates the activities of other professionals, maintaining control, providing direction and ensuring that the audience has an enjoyable time.

Checklist prepared by Charles Cave.

Before the meeting check the agenda to see if everyone is present. Assign roles for absentees, for example, asking a guest or new member to be timer.

Let the meeting begin....

Sergeant at Arms calls to Order … hands control to ….
President who gives a welcome …. hands control to Chairman

  • Thank the president then say a few words of welcome mentioning the theme of the meeting
  • Welcome the guests
  • Ask for apologies
  • Review the agenda. First of all, ask if everyone has an agenda. Then review each of the meeting roles
  • Welcome the Laughmaster and state the time of one minute
  • Thank Laughmaster and make supportive comments
  • Welcome the Table Topics Master and state the time of the assignment (usually 8 minutes)
  • Thank Table Topic Master and make supportive comments
  • Ask members to pay the $3 meeting fee into the collection bowls as well as writing their nomination for favourite Table Topic and passing the paper to the chairman.
  • Welcome the Toastmaster (who looks after introducing speakers and evaluators)
  • Thank Toastmaster for the assignment and comment on speakers and evaluator
  • Call on the Listener Grammarian and state the time of the assignment (usually 2 minutes)
  • Call on the Timer to give report
  • Call on General Evaluator to give report, and state the time of the assignment (usually 3 minutes)
  • Ask the Education VP to do the role assignment which is a review of the program for the next few weeks.
  • Open up General Business. Ask Secretary if any new correspondence.
  • Ask guests for comments on the meeting
  • Close the meeting by thanking everyone for their participation and encourage to attend next meeting.
